Dealing with the Elephant in the Waiting Room – Clipboards and Paper Forms

I recently had a visit to the doctor’s office for a routine procedure.  I kid you not that I was asked to complete essentially the same forms 3 different times.  Two times electronically and once on paper.  The staff assured me that the forms were asking different questions.  I frustratingly assured them that 95% of the questions were the same.  It was an awful experience for me as a patient and no doubt for them to have to review 3 different sets of forms.  While not every office is this disorganized, the patient experience when it comes to clipboards and patient forms has a lot to be desired at many healthcare organizations.

The most frustrating part of the experience for me was that I knew there was a better way.  In fact, I’d seen it first hand when I was at the HIMSS 2024 conference where I filmed a demo of Interlace Health’s product which streamlines patient forms and consents.  In the demo video embedded below, I learn more about some of the Interlace Health features from Dessiree Paoli, Director of Product Marketing and Strategy, and Ellie Silver, Solution Architect at Interlace Health.

The key elements I saw from Interlace Health was how they’d worked hard to automate workflows, pre-fill in forms, and streamline the process for staff and patients.  Paoli called their efforts putting “People over Paperwork.”  What an important initiative when you think about patients generally arriving for care with an illness or sickness.  The last thing a patient wants to do is paperwork.  Anything that can be done to automate and streamline that process is great for the patients and benefits the staff as well.

In the demo video, Silver demonstrated these principles in action when she showed a workflow for a patient to sign a consent form for a procedure.  I loved that Silver showed how the patient specific information was added automatically to the form via an integration with the EHR.  Interlace Health is known for these tight EHR integrations and you can see how this benefits the patients and saves time getting the consent signed.

Another impressive feature she showed was their patient view mode and staff view mode.  This feature allows the staff member to queue up a form and then pass the tablet to the patient for them to do their digital signature in a secure environment.  Then, when the staff member gets the tablet back, they can go back to staff view mode where they’re able to sign it using their pre-configured signature.  The doctor can also sign it at that time too or the consent document can be routed to the physician sign queue where they doctor can easily retrieve and sign it later.
